Subject: CS Open Labs - 17th September: Group guidelines, schedule and action points
On behalf of the CS Open Labs Planning Committee
Hello,
Thank you for completing the preliminary Open Labs form earlier in the summer. Please see the following guidelines and notes regarding the format of this year’s Open Labs event as well as the schedule of the day:
* Open Labs will be in an ‘exhibition’ style format from 9.30am – 13:00pm starting with a Welcome talk from Tony in A07 and a series of 2-minute ‘flash’ presentations from each research/SIG group.
* All groups will be allocated a space on the ground floor of Computer Science in an ‘exhibition’ format (in either A01, the Hub or CS Atrium).
* Groups will be provided with a table, TV/PC monitor and/or a posterboard side as supply of these (and space) is limited.
* Group stands need to be set up before the start of the event at 9:30am (the space will be available for groups to setup between 3pm and 5pm the day before).
* Groups will be requested to format their stand/demos to the above-mentioned format given the restrictions in time and space as well as to fit in with the ‘spirit’ of the event (as a result talks, panels, large demos, large volume of posters will not be suitable). Presented work should be straight-forward and presented in 'simple' terms.
* Demos and exhibitions should remain within the designated area and should be manned throughout the duration of the event.
* Please note the School can assist with very limited poster printing requests so groups are encouraged to reuse posters from previous years, arrange for printing themselves, or display them in a digital format.
* Groups preferring to present and demo in Cobot Maker Space will need to organise and set this up themselves in CMS in advance, so that they can also partake in the activities in CS earlier that morning.
Schedule for the day:
09:30 – 09:45 A07: Welcome talk from Tony
09:45 – 10:30 A07: Research groups & SIGs flash-intro round (2 mins per group) see more info below
10:30 – 12:15 A01, Hub, CS Atrium: Exhibition - research group displays & demos see more info below
12:15 – 13:00 Cobot Maker Space: CMS-based exhibitions and demos
Flash-intro guidelines:
Each group to briefly present their research group and its activities such as:
- people involved
- research mission/objectives
- research activities/progression
- any upcoming activities/results/funding/etc.
- sneak preview of demos to be showcased later
Demos/Stands guidelines:
Groups to present a more detailed overview of the group’s research activities such as:
- showcase recent research results
- present interactive/engaging activities relative to the group’s research objectives
- present with aim to encourage networking and potential future collaborations with other research groups
Action points:
1. If groups have additional or specific requirements for their demos/stands, please let us know before Wednesday 10th September.
2. Please could all groups email cs-admin at nottingham.ac.uk<mailto:cs-admin at nottingham.ac.uk> a one-page PDF of their group for the flash-intro round at the start of the event (this could be a basic summary of your research with some pictures) before Monday 15th September.
3. Groups preferring to demo in CMS, please confirm so by replying to this email.
4. Groups are encouraged to set up the day before (Tuesday 16th September) between 3pm and 5pm with members of the Open Labs Planning committee available to assist.
